HOW-TO: Meta-Reviewer Add/Assign/Invite Reviewer
WHEN TO INVITE A REVIEWER
DO NOT INVITE the user to be a Reviewer if the user is in the 'Manage Reviewers' page.
DO INVITE the user to be a Reviewer if:
1. The person is not in your conference
2. The person is not a Reviewer in your conference
If the Chairs already know the user wants to be a Reviewer, then that user can be ADDED to the conference as a Reviewer instead.
This eliminates emails and accept/decline links.
When ADDED, the user will automatically see their Reviewer Console.
OVERVIEW
Depending upon the Chair’s settings of the conference, Meta-Reviewers can add/assign and/or invite Reviewers.
Inviting vs. Assigning
- Inviting Reviewers and assigning Reviewers are two different things.
- Inviting a user (non-conference or without that role) to be a Reviewer is just an invitation to come into the conference with that role.
- Assigning a Reviewer is giving that reviewer a paper(s) to review before the proper deadline
- You should not invite existing Reviewers to a paper; you should just assign them.
- If you click 'More>Invite Reviewer' for an individual paper and get this error: 'Forbidden (403): The user can't be invited as reviewer for paper 1 as the user is already a regular reviewer. You can assign paper directly to the reviewer,' it means you are inviting a user that is already a Reviewer. What is needed is the paper needs to be assigned to the Reviewer.
META-REVIEWER ADDING A REVIEWER
If a reviewer was added by meta-reviewer, then he/she cannot be added by other meta-reviewers. Also, an emergency reviewer (added by a meta-reviewer) cannot be shared.
Meta-Reviewer Console
- To Add a Reviewer to a Paper, click ‘Reviewers’ tab.
Manage Reviewers page
- From the 'Manage Reviewers' page, click 'Actions>Add Reviewer.'
- Enter the email of the Reviewer you wish to add, then click 'Search.'
IMPORTANT
A person without a valid CMT email cannot be added to the conference.
If an unregistered email (invalid CMT account) is entered, there will be a notification:
'User with email *xxx* was not found. A registered account is need for this operation.'
If the email is a valid CMT account, the dialog box will show the Name and Organization of the user.
- Click 'Add This Reviewer.'
Note
No automatic email will be sent to the Reviewer.
The new Reviewer appears in the 'Manage Reviewers' page.
META-REVIEWER ASSIGNING A REVIEWER
Meta-Reviewer Console
- To assign a Reviewer to a Paper, go to the extreme right of the row of the paper you wish to assign, click ‘More>Edit Assignments'
Edit Assignments (Reviewer) page
- The Edit Assignments (Reviewer) page opens. Check the checkbox of the Reviewer that is to be assigned.
Note
No automatic email will be sent to the Reviewer.
If the Reviewer desired is not in the Edit Assignments page, but is in the Reviewers tab, make note of the bullet header, ‘Assigned Reviewers / non-conflicting emergency reviewers’.
This means the Reviewer is not listed as an Emergency Reviewer and cannot be assigned the paper.
Contact the Chairs for resolution.
INVITING REVIEWERS
Meta-Reviewer Console
- To invite a Reviewer to the conference, click ‘More’ on the extreme right of the row of the paper. Select ‘Invite Reviewer’.
Invite Reviewer page
- The Invite Reviewer page opens. Enter the email of the Reviewer you would like to invite, click ‘Search’.
IMPORTANT
If an unregistered email is entered, there will be a notification:
'User with email xxx was not found. Enter information below to continue. Account will not be created for the user.'
- Enter the information and click '+ Create Invite.'
If the email is a valid CMT account, the dialog box will show the Name and Organization of the user.
- Click 'Add This Reviewer.'
- Click ‘Next’.
- This is where you compose the email for the invitation. Click 'Preview.'
- This is the preview of the email that will be sent. Click ‘Send.’
- You can click on the link to view the invitations and see their decisions.
ERROR INVITING REVIEWER TO A PAPER
If the Meta-Reviewer gets an error inviting a user to a specific paper, the error will say what the issue is.
'The user can't be invited as reviewer for paper xx as the user is already a regular reviewer. You can assign paper directly to the reviewer'.
This means the Meta-Reviewer is inviting a user that is already a Reviewer in the conference.
The Meta-Reviewer can only invite a user if the person is not in your conference, or the person IS NOT a Reviewer in your conference.
What is needed is the paper needs to be assigned to the Reviewer.
- If the Chair gave the Meta-Reviewer permission to assign papers, then the Meta-Reviewer can assign the paper.
(How The Meta-Reviewer assigns a Reviewer to a paper) - If the Meta-Reviewer cannot assign but only invite, then the Meta-Reviewer needs to contact the Chairs.
