HOW-TO: Edit Co-Authors
OVERVIEW
Sometimes an author will need to add or remove a co-author for their paper, or change the Primary Contact.
Note
1.'Edit Submission' must be enabled by the Chair.
2. Authors cannot modify a co-author's profile
ADD A CO-AUTHOR
Important
THERE IS NO AUTOMATIC CHECK TO VERIFY THE CO-AUTHOR'S EMAIL. PLEASE ENSURE EVERY BIT OF INFORMATION IS CORRECT AND VALID OR THERE WILL BE ISSUES
- It is important to know if the co-author to be added has a CMT account.
- A co-author can be added to the paper without having a CMT account, but it only acts as a placeholder; they are not a part of the conference.
- If a non-CMT user was added to the paper, they MUST register their email with CMT.
- To mitigate any later problems, contact the co-author to be added to the paper, and make sure their email is, in fact, a CMT account and you have ALL of their information correct.
PLEASE READ!
There will be some cases where the Chair of the Conference will need to add the co-author's NEW CMT account, such as there is no 'Edit Submission' link or an old CMT email was added to the paper and a NEW CMT email was created. Contact the Chairs directly.
- From the Authors Console, click the 'Edit Submissions' link in the 'Actions' column

- In the Edit Submission page, click '+Add'
Note
Make sure the page allows for adding co-authors

- Enter the co-author’s email address, First and Last name, Organization, and Country/Region into the field (in yellow below) and click add, then Save.

The author is added to the Edit Summary page.
Important
Because of privacy reasons, there will be no way of the author knowing that the co-author just added has a registered CMT account. Reach out to the co-author directly or contact the Chairs.
If the co-author does not have a CMT account, they are not part of the conference. This just serves as a placeholder until they register the email with CMT.
CO-AUTHOR CANNOT BE ADDED
If the Author section says 'Author list cannot be modified' then the Chair has set it so there can be no other authors on the paper than the ones already there. If there are any questions, please contact the Chairs.

DELETE A CO-AUTHOR
- From the Authors Console, click the 'Edit Submissions' link in the 'Actions' column

- Click the 'x' at the end of the row of the co-author. Save the changes.

MISTAKE IN ADDING CO-AUTHOR
If the mistake in adding the co-author was a misspelled name, have that co-author correct it in their profile settings.
If the mistake in adding the co-author was a misspelled email, you can remove the co-author from the paper by clicking the 'Edit Submission' link and clicking the 'x' at the end of the row of the co-author. Save the changes.
Then you may add the co-author again with the correct email.If you mispelled the co-author's email and cannot delete the co-author, contact the chairs of the conference to see if they will remove that user from your paper and add the correct user/email to the paper.
CHANGE PRIMARY CONTACT
Note
The original Primary Contact cannot be deleted
- From the Authors Console, click the 'Edit Submissions' link in the 'Actions' column

- Click the radio button next to the Co-Author to become 'Primary Contact.' Save the changes

CHANGE AUTHOR ORDER
Note
The first author would be the main author of the paper, but not necessarily the primary contact.
- Click the up arrow to change the order of the Co-Authors. Save the changes.

CO-AUTHOR NOT GETTING EMAILS
If your registered co-author is not getting any emails and they have a CMT account, it is likely the 'Do not send me conference email' box is checked in their User Profile page.
